In the TRACC Platform, your administrator assigns you access to a ‘home’ (default) area and can also assign additional roles, in other areas of your organization, to view TRACC data specific to that area.
If users require access to view the entire Area Tree, but do not need to work in areas outside their home area, assigning them an additional 'Guest' role, at the root level will allow them this visibility.
In your home area:
You can view all details and menu items (note role permissions should also be considered).
To see if you have any other assigned areas, click on your profile icon (top-right) and then click 'View Profile'.
The 'Work Details' section shows your Home Area, and the 'Role' section lists all the assigned roles in each area you are assigned to.
What you will have access to outside of your assigned areas:
When switching to an area where you don't have an assigned role, only the 'Assess' menu item will be accessible. Selecting the dashboard will take you back to your assigned home area.
Dashboard
Users will not be able to view a dashboard in any area where they don't have an assigned role.
Assess
- You will only be able to view assessments for TRACCs that your home area is subscribed to. For example, if your home area is only subscribed to Leading and Managing Change (LMC), and other areas have LMC and Teamwork TRACC subscriptions, you will only be able to see the LMC assessments in the other areas you navigate to. If all areas have the same subscriptions, you will be able to see all assessments in other areas.
- You will not be able to view any Work Bundles allocated to an area, if you don't have an area role for the area.
- You will not be able to add additional Assessments outside of your home area.
Plan
Users will not be able to view the plan for areas outside of their assigned areas.
Tasks
Users are only able to view tasks (plan actions) assigned to them when in the assigned area.
Documents
You won’t be able to access the Documents menu when outside of your assigned areas. When you are in an assigned area, you can still filter by other (unassigned) areas to view evidence or best practice documents uploaded there.
Scheduler
Users can only view training when in their assigned area, if they have the role permission that allows access to the training scheduler. You can only view training modules under My Workshops, if you have been added to the training as a participant or if you are the trainer for the module. Users will not be able to see any training scheduled or completed, if they have not been added as a participant or if they are not the trainer.
CCi Academy
Users will only be able to access the Academy in their home area. They will be able to view courses based on the TRACC subscriptions for their home area.
Reporting
Users will not be able to access the reports when outside of their assigned area.
Reader
Users can only access the Reader when in their home area, which will grant access to those TRACCs your home area is subscribed to.
