Although not recommended, it is possible to keep two versions of TRACC content active simultaneously.
This article summarizes the considerations for when both the older and latest versions of TRACC content are active in the TRACC Platform.
What is visible in the area tree?
- It is possible to subscribe some areas to the older TRACC content and other areas to the latest version.
- Users in areas subscribed to the latest version of TRACC content will see both the latest TRACC content, as well as the older version in the Document Tree.
- Users in areas subscribed to an older version only, will only see old content in the Document Tree.
- Users at the root area level will have access to both versions.
- Master Facilitators or Super Administrators will need to be set up at the root level of the area tree to support two versions.
What do Administrators need to be aware of?
- Administrators will need to ensure that user access is carefully managed so that those who need to support multiple sites (some on older and others on latest content), have access to both.
- When a site moves to a new part of the area tree (subscribed to latest content), the associated user access will need to be reviewed by the Administrators.
Note: users will automatically move along with their areas, but you need to pay careful attention to users at higher levels.
What are the configuration considerations?
- TRACC supports configuration that links to two versions of content simultaneously (linking standards, reworded criteria, and sub-criteria).
- Older TRACC configurations will transfer to the latest TRACC version where mapped, but it is important for the Best Practice Leaders to understand the implications.
- It is strongly recommended that any new configuration takes place in the latest TRACC content version only.
- Training is available for this if required.
How will TRACC Assessments be affected?
- Users will need to be careful to select the correct version when creating an assessment.
- Previous version assessments will be listed in red to indicate that they are an older version.
- Areas subscribed to both versions will see both assessments.
- Areas subscribed only to the older version, will only see and create these assessments.
- Older version assessments will appear in red text to indicate that they are the older version.
What do Trainers need to be aware of?
- A combination two subscriptions will mean scheduling and facilitating different versions of the same workshops.
- Trainers will need to assign the correct version of the TRACC eLearning Cogs to learners.
- It is recommended to clearly separate trainers (TOTs/MTOTs) for the different versions to prevent confusion.
- Trainers will need to exercise diligence in selecting the correct workshop versions.
What other factors should be considered?
Reporting:
- Aggregate reporting for sites on two versions will be separated (i.e. TRACC will report on the latest version separately to older versions), as the latest version is measured against a different standard.
- This will also be reflected in exported maturity data.
Search Functionality:
- If a user is subscribed to the latest version, search results will include both versions of the content. Therefore, they will need to be vigilant regarding the version of TRACC they are searching in.
- If a user is subscribed to the older content only, search results will be limited to this version's content.
