It is human nature to question change and ask “Why?”. Therefore, whenever a change is made, as a leader you need to manage the change process effectively.
This article flags some of the change management considerations for when you upgrade from an older to newer version of TRACC Content.
Why?
TRACC material is continuously upgraded to stay abreast of global trends and enhance user benefits.
Some of the key reasons for the TRACC Content upgrades are:
- Stay aligned to the rapid pace of Industry 4.0 changes including digital manufacturing; big data and Internet of Things (IoT)
- Increase the focus on performance improvement and achieving rapid results
- Address the changing trends in learning and information acquisition
- Provide users with more tools, templates and examples
- Improve implementation guidance
- Increase leadership capability to change mindsets and create culture change
- Provide bite sized Just In Time (JIT) information
What?
The table below summarizes the magnitude of the change on each practice.
Version Upgrade Guides are available on the TRACC Platform and contain all the information you require to understand the details of the changes in each practice.
When?
To switch on the newest TRACC content, you give us the date and we switch it on. However, when you select the date for the upgrade, it might be useful to consider your organizations' reporting cycles, the financial year end date and any date-related performance targets.
Who?
A critical part of the change process is to make sure all key stakeholders are aware of the change and trained on the process beforehand. This would include Executive Leadership Committee (ELC) Members, Site Steering Committee (SSC) Members, Implementation Task Force (ITF) Members, Internal Trainers/Master Trainers, Continuous Improvement Support Teams, and TRACC Platform users.
How?
While we acknowledge that every organization is unique, there are a few suggestions to ensure that the change process runs smoothly.
- Initial TRACC Content Upgrade Presentation: designed to give the client an overview of the TRACC upgrade process, content changes, and blended learning impact. It is conducted to start the content upgrade process.
- MTOT and TOT Up-skilling: this is a half to two-day workshop to up-skill existing internal trainers on the blended learning content and process. The duration will vary depending on the level of prior knowledge and how much blended learning took place in the previous version.
- ELC; SSC; and ITF sensitization: similar to the initial TRACC content upgrade presentation, but to a broader audience.
- Continuous Improvement Team and Key User Training: training on how to copy/convert TRACC assessments to the latest TRACC content; update the plan, and use blended learning in the TRACC Platform.
- Email Communication: once everyone is aware of the content upgrade, send them an email to notify them of the upgrade timings and project plans. A sample can be obtained from the TRACC Support team.
- Risk Plan: make sure the site has identified the potential risks of the upgrade to the implementation process and developed mitigation plans.
