What is the difference between Portfolio of Evidence (PoE) documents and Best Practice (BP) documents?
Any documents uploaded to an assessment or plan for a particular area are applicable only to that area and are known as Portfolio of Evidence documents.
Any documents uploaded in the Documents tab, whether in the Assessment Template or attached to a TRACC Implementation Action or Stop ‘n Think, are applicable to the entire organisation and are known as Best Practice documents.
Portfolio of Evidence documents
These are files, comments or URLs that are added to assessments or to individual assessment criteria while you conduct an assessment for an area, or to planner activities while capturing your implementation progress. They are associated with a particular area in the area tree.

Best Practice documents
Best Practice Leaders (BPLs) can add files, comments and URLs to any TRACC Implementation Action or Stop ‘n Think in the Documents tab. They can also add documents to assessments and assessment criteria through the assessment template, which is located at the top of each TRACC folder in the Document Tree pane. These form a knowledge library of internal best practices.
Unlike PoE documents, BP documents are associated with more than one area. They can be viewed by anyone browsing the Documents tab for the area in which they were added and are accessible only to users from that area and its child areas.
- The documents attached to an assessment template are accessible to users who conduct the assessment within the applicable areas.
- The documents attached to a Stop ‘n Think or an Implementation Action are accessible to users working on those activities in the plan for the applicable areas.
BPLs can also reword specific criteria to suit organisational requirements. This is done by editing the assessment template from the document tree. The customised criteria text is visible to anyone conducting that particular assessment, regardless of their organisational area.

Note: When adding documents, please keep in mind that BP documents are available to a wider audience from the Documents tab, so ensure that you add PoE documents for information relating only to a specific area’s assessment and plan.
